The Visitor Services Manager serves as the first point of contact with the Idaho Botanical Garden and its guests. The primary roles include managing, training, and overseeing general visitor services operations and both full-time and part time staff members as well as processing admissions into the Garden In the admissions kiosk, information station, and admin front desk while conveying the benefits of Garden memberships to each guest. This position also supports volunteers, education, and event staff as needed. This position serves as part of our leadership team and will be involved in understanding the business, budgets, and organizational decisions and be responsible for implementing them.

Responsibilities

  • Ensuring that the Kiosk and administrative tills balances accurately at the end of each shift and consolidating daily deposits

  • Answering a multi-line phone system and assisting in over the phone ticket sales, answering questions about the Garden and its programs

  • Manages operational aspects of important revenue streams. This includes general admission into the garden, Information Station merchandise and alcohol sales.

  • Support event production as needed (may include computer work, packing tickets, ordering and organizing supplies)

  • Support event staff during events as needed (may include interacting with volunteers, taking tickets, directing traffic, equipment set-up)

  • Work with Volunteer Manager to schedule Information Station volunteer staff. Provide ways to enhance visitor experiences including Garden changes and new offerings.

  • Stock marketing areas including event displays, admission kiosks, and the administration office, and communicating general signage needs.

  • Managing Visitor Services Coordinators including scheduling, training, and providing strategic oversight of direct report and department goals, and keeping labor costs within specified annual budget

  • Conduct performance evaluations for Visitor Service Coordinators based on yearly Action Plans, as well as assisting these coordinators in the action planning process.

  • Plan and coordinate admission processes and staffing for Garden events

  • Keep admission prices and hours listings up to date and current by working with the Senior Director of Visitor Services and Marketing department.

  • Manages outside vendors for cleaning of bathrooms and office spaces

  • Responsible for scheduling inmate workers and reviewing and approving the timesheets submitted through the Inmate Worker Program.

  • Be able to identify a need or opportunity for improvement and find a solution.

  • Lead regular team and 1:1 meetings to inform team of organization changes, hours or admission rates changes and upcoming Garden events/activities. Foster and uphold a positive team culture, where communication is a top priority.       

  • Helping to cover kiosk and information station duties as needed.

  • This could include working hours ranging form 8:30 am to as late at 9:00 pm on specified evenings, including weekends and some holidays. Opening and closing the admissions kiosk, accepting guests for daily admission and events, following outlined procedures, and checking in field trips, and selling merchandise and alcohol.

  • Office projects and other duties as assigned

  • Ability to learn specialized software such as Volgistics and Altru

Requirements

  • High School Diploma or GED equivalent

  • Previous customer service/cash handling experience preferred

  • 1 year of management experience preferred

  • Ability to be available after hours and weekends is required under some circumstances
