Event Director

$65,000 - $75,000

The Event Director is responsible for the creation, implementation and ongoing success of a comprehensive signature and partner event programming. The Event Director sets strategy and oversees all areas of event implemenation and guest experiences including planning, evaluation, promotion and analysis upon execution.  The Event Director works with a team of key leaders to establish  event goals and details, fulfilling event sponsorships, recruiting partners, merchant vendors, entertainment, and service providers. The Event Director supervises the Event  Manager, Event Operations Coordinator, and supports the oversight of seasonal event workers. The Event Director is responsible for generating revenue through garden events, sponsorships and effective budget management.  This position serves as part of our leadership team and will be involved in understanding the business, budgets, organizational decisions and be responsible for implmentation of all event aspects.


Department Leadership and Administration

  • Strategic oversight and evaluation of all IBG signature, partner, and site rental events, and event department

  • Provide guidance and direction for the team that executes all event logistics from planning to implementation.

  • Strategic oversight of event calendar, taking into account all aspects of an event including event set up, tear down, on-site staffing needs, as well as organizational and event team capacity.

  • Create, manage, and update annual event calendar, organization’s event database systems, and public and private calendars.

  • Create and manage event budgets, revenue, and expenses, maintaining accuracy and accountability of budgets.

  • Oversee and manage event team timelines and deliverables for all components IBG signature, partner, and site rental events.

  • Assess and create processes to ensure a efficiencies within the event team. Create and maintain training materials, steps and procedures for event staff.

  • Create and oversee the negotiation of contracts with vendors, partners, entertainment, equipment, and professional services. support sponsorship contracts, and ensure accounts receivable payments are made.

  • Hire, train and manage event staff, ensuring Garden policies are enforced, and customer service standards are upheld.

  • Ensure safety and security of all guests and staff attending IBG signature, partner, and site rental events.

  • Oversee site rental program, including bookings, contracts, and staff who implement day of private event activities.

  • Lead and manage event evaluation and outcome meetings following all IBG signature and partner events. Share reporting with leadership team.

  • Create a positive environment in which staff, guests and vendors feel welcome and enjoy their experience at IBG.


  • Work with the Marketing and Communication Director to support IBG as a venue for private events.

  • Work with the Marketing and Communication Director to drive attendance to all IBG signature and partner events by providing information, details, and background, to ensure a successful marketing strategy.

  • Provide regular updates if additional marketing support is needed based on event attendance.


Sponsorship Support


  • Ensure IBG sponsorship relationships are supported, and deliverables are fulfilled.

  • Work with Sponsorship Coordinator to cultivate corporate sponsor program and solicit event sponsors and partners.

  • Work with Development Director to analyze partner relationships and create new streams of revenue through joint sponsorship and marketing opportunities.

Preferred Skills, Specifications, & Experience

  • 5+ years of customer service experience and a strong track record of providing excellent customer service, preferably in an arts or museum environment.

  • Computer proficiency essential; strong understanding of Microsoft Office

  • Sales or business development experience a plus

  • Experience with Adobe Creative Suite, Photoshop, In-design, or photography a plus

  • A high degree of comfort with online fundraising tools, the benefits of social media

  • Access to a vehicle as local travel is required.


  • Minimum of 5years’ experience in event planning

  • Minimum of 3years’ experience in staff management

  • Ability to multi-task in a fast-paced, creative environment and to work well under pressure.

  • Excellent interpersonal, verbal, and written communication skills

  • Excellent attention to detail and follow-through

  • Exceptional organizational and diplomacy skills, decision-making skills, and sound judgment

  • Ability to adapt to challenges and opportunities with a solution-oriented perspective.

  • Flexibility in schedule, working some evenings and weekends.
